Introduction
The Manage Universes & Lists page gives you a central location to manage both Voter and People Universes created in your Organization Account, along with Static Lists and Merged Lists. The Manage Universes & Lists page also gives you the ability to deactivate previously saved Universes and Lists. This will hide your universes and lists from all pages in the program.
Note: If you have active universes that incorporate a deactivated universe or list, you will need to reactivate the deactivated universe or list in order to use the currently active universe.
The Manage Universes & Lists page also provides you with the ability to share universes with your child accounts, assign universes to Data Permission Groups, and change the universe folder associated with the universe. You can manage and delete universe folders from this page as well.
- The Manage Universes & Lists page can be accessed by hovering over the Universe/Lists dropdown from the top Navigation Menu, and clicking the Manage Universes & Lists button.
Universe Management
The Universes Management tab manages both Voter and People Universes and provides you with the ability to activate and deactivate universes, change the folder associated with the universe, view the description of the universe, assign universes to Data Permission Groups, and share the universe with child accounts. By default, this page will only display the universes that have been created by your User Account. You will need to activate the All Universes checkbox to view all universes associated with your assigned permission group/s.
- Category Drop-Down Menu - Allows you to filter the list to Universes that belong to the selected folder.
- Review Universe Folders - Accesses the Query Categories page where you can manage your universe folders.
- Show Inactive Items Checkbox - Displays your inactive Universes.
- All Universes Checkbox - Displays all of the universe within your assigned Data Permission Group/s.
- Category Column - Allows you to change the folder associated with the universe.
- Desc Column - Displays the selected criteria of the universe.
- Entitlements Column - Allows you to set the Data Permission Groups associated with the Universe.
- Share Column - Allows you to share your Universe with your Child Accounts.
- Deactivate Election Drop-Down Menu - Filters your list to Universes created during the selected election cycle.
- Deactivate Selected Universes Button - Deactivates the selected Universes.
Deactivating Universes
- Activate the checkbox of the universe you would like to deactivate.
- Click the Deactivate Selected Universes button.
- Click the Yes button in the Pop-Up.
Reactivating Universes
- If it is not already activated, activate the Show all Active and Inactive Lists checkbox.
- Click the Activate button of the universe you would like to reactivate.
- Click the Yes button in the Pop-Up.
Sharing Universes
- Click the Share button in the row of the universe you would like to share.
- Activate the check box for each Organization Account that should receive the universe.
- Click the Save button.
Changing Universe Category
- Click the link in the Category column.
- Use the drop down menu to select the new category.
- Click the Save button.
Saved List Management
The Saved Lists Management tab gives users the ability to deactivate and reactivate Static Lists. This page is accessed by click the Saved Lists Management tab. By default, this list will display all active merged list created by all users in your Organization Account. The list can be filtered by election cycle by using the Deactivate Election drop-down menu.
Deactivating a Saved List
- Activate the checkbox of the Saved List you would like to deactivate.
- Click the Deactivate Selected Universes button.
- Click the Yes button.
Reactivating a Saved List
- Activate the Show Inactive List check box.
- Click the Activate button in row of the Saved List you would like to reactivate.
- Click the Yes button.
People Lists
The People Lists tab gives users the ability to deactivate and reactive invitation and person lists. This page is accessed by clicking the People Lists tab. By default, this list will display all active people lists created by all users in your Organization Account.
Deactivating a People List
- Activate the checkbox of the People List you would like to deactivate.
- Click the Deactivate Selected List button.
- Click the Yes button.
Reactivating a People List
- Activate the Show Inactive List checkbox.
- Click the Activate button in row of the People List you would like to reactivate.
- Click the Yes button.
Target Universes
The Target Universes page allows you to set target universes that can be shared with your child accounts. Once selected, your child accounts will receive static versions of the universe. These universes are refreshed nightly, so your child accounts will receive the latest version of your universes first thing each morning. Target Universes can be set in the Universe Builder as well.
The Target Universes set in this page will also be added as target universes in the Preset Target Universes drop-down menu inside of the Simple Target Fields tab inside of the Create Voter Universes page. However, the universe in your Organization Account's Preset Target Universes drop-down menu will not be static.
There are two ways Target Universes can be shared.
You can share Target Universes as subsets using the Target Universe 1A - Target Universe 1D options.
- Target Universe 1A will function as your base universe, and will exclude all voters from Target Universe 1B - Target Universe 1D.
- Target Universe 1B will include all voters who overlap between Target Universe 1A and Target Universe 1B.
- Target Universe 1C will include all voters who overlap between Target Universe 1A and Target Universe 1C while excluding the voters from Target Universe 1B.
- Target Universe 1D will include all voters who overlap between Target Universe 1A and Target Universe 1D, while excluding voters from Target Universe 1B and Target Universe 1C.
Target Universe 2 - Target Universe 5 will send static versions of those universes to your child accounts. Once these Target Universes have been set, you can select which ones are shared with which child accounts in the Manage Catalogs page.
Creating Shareable Target Universes
- Use the Select Universe drop-down menu to select the universe that will be shared.
- Use the textbox in the Alias column to set the name you will use to reference the target universe.
- Click the Save Changes button to save your selection.
Query Categories
The Query Categories page provides you with the ability to create, delete, and manage your Universe Folders. If a folder containing universes is deleted, the universes will move to the Master folder. To access this page, click the Review Universe Folders link at the top of the Universes Management tab to access the Query Categories page.
Adding New Categories
- Click the Add New Category button.
- Use the Name text box to set the name for the category.
- Use the Type drop-down menu to select the type of Universe the category will hold.
- (Optional) Click on the Padlock icon to assign the Universe Folder to a permission group.
- Activate the checkboxes of the Data Permission Group(s) that should have access to this Universes in the Universe Folder.
- Click the Save button in the Permission Assignments pop-up.
- Click the Save button.
Deleting Categories
- Activate the checkboxes of the Universe Folders you would like to remove.
- Click the Deactivate Selected Categories link.
- Click the Yes button in the Pop-Up.
